Who we are
SafetyPro360 is operated by RAD-EQUIP LIMITED, a company registered in England and Wales (company number 12732628), registered office 6 Seven Stars Road, Wigan, England, WN3 5AT. For anything to do with privacy, email info@safetypro360.co.uk.
Two kinds of information
We hold personal information in two different ways, and the difference matters.
Information about you as our customer or visitor. Your name, email address and so on. For this, we decide how it is used, which in law makes us the controller.
Information a customer records in their account. A business using SafetyPro360 records details of its own staff: names, job titles, training, incident reports and the like. That business decides what is recorded and why. It is the controller, and we hold the information on its behalf as its processor. If your employer uses SafetyPro360 and you want to know what it holds about you, or to have it corrected, ask your employer. We will help them deal with your request.
What we collect about customers and visitors
| What | Why we hold it | Our lawful basis |
|---|---|---|
| Account details: your name, email address, phone number, business name and address, and a scrambled (hashed) copy of your password | To open and run your account and to contact you about it | Performing our contract with you |
| Subscription details: your plan, payment status and a reference to your record at our payment provider | To take payment and to know whether your account is paid up | Performing our contract with you; legal obligations to keep financial records |
| Login and security records: the date and time of logins and sign-up attempts, and the internet (IP) address used | To keep accounts secure and to stop automated sign-ups and misuse | Our legitimate interest in keeping the service secure |
| A log of changes made in your account, and by which login | So you can see who changed what, and so we can investigate problems | Performing our contract with you |
| Messages you send us through the contact form or by email | To reply to you | Our legitimate interest in answering enquiries |
We do not hold your card number. Card payments are made directly to Stripe, our payment provider, which handles them under its own privacy policy.
We do not sell personal information, and we do not use it for advertising.
What customers record in their accounts
Depending on how a business uses SafetyPro360, its account may hold information about its staff and others, including names, contact details, job titles and roles, emergency contact details, training and certificates, attendance at toolbox talks, and reports of accidents and near misses. An accident report can include details of an injury and the treatment given, which is information about a person's health.
We use this information only to provide the service to that business, on its instructions. Our people look at a customer's records only when that is needed to fix a problem or answer a request for help. The terms on which we act as processor are set out in our terms of service.
Where information is stored
SafetyPro360 runs on servers in the United Kingdom provided by our hosting company. Documents uploaded to an account are stored privately and can only be opened by someone logged in to that account. Information travels between your device and our servers over an encrypted connection.
Who we share information with
We use a small number of suppliers to run the service. Each handles personal information only as needed to do its job for us.
- Hostinger, which provides our servers and sends the service's emails (such as password resets).
- Stripe, which takes subscription payments.
- Cloudflare, whose Turnstile check on our sign-up and contact forms tells people from automated programs. It looks at technical information from your browser to do this.
Some of these suppliers are based, or have parent companies, outside the United Kingdom. Where personal information is transferred abroad it is protected by the safeguards UK law requires.
Messages you send through the contact form, and PPE order requests sent from the app, are delivered by email to the people who deal with them for us.
If a business connects its safety consultant to its account, that consultant can see the parts of the account the business has chosen to share. That is the business's decision, not ours.
We will disclose information if the law requires us to.
Cookies
When you log in we set one cookie, which keeps you logged in as you move between screens. It is essential to the service and is removed when your session ends. Cloudflare's check on the sign-up and contact forms may store what it needs to do its job. We do not use advertising or tracking cookies.
How long we keep information
- Your account and its records are kept for as long as the account exists, including while it is paused, so that you can come back to it.
- When an account is deleted, at your request or by us, its records and uploaded documents are removed from the service. A backup copy is kept for up to 90 days in case the deletion was a mistake, and is then destroyed.
- Login and security records are kept for up to 12 months.
- Payment records are kept for six years, as tax law requires.
- Messages you send us are kept for as long as needed to deal with them, and no more than two years.
Your rights
Under UK data protection law you can ask us to give you a copy of the personal information we hold about you, to correct it, to delete it, to restrict how we use it, or to give it to you in a form you can take elsewhere. You can also object to our using it where we rely on legitimate interests. To use any of these rights, email info@safetypro360.co.uk. We will reply within one month.
If you are unhappy with how we have handled your information, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Changes to this notice
We will update this notice if what we do changes. The date at the top shows when it was last changed, and we will email account holders about any significant change.
