Terms of service

These are the terms on which we provide SafetyPro360. We have kept them short and in plain English. By opening an account you agree to them on behalf of your business.

Last updated 5 October 2026

1. Who we are

SafetyPro360 is operated by RAD-EQUIP LIMITED, a company registered in England and Wales with company number 12732628. Our registered office is 6 Seven Stars Road, Wigan, England, WN3 5AT. In these terms "we" and "us" mean RAD-EQUIP LIMITED, and "you" means the business that opens an account.

You can contact us at info@safetypro360.co.uk.

2. What SafetyPro360 is

SafetyPro360 is an online service for keeping health and safety records: staff and roles, training, documents, incident reports, checks, toolbox talks, PPE stock and actions. It runs in a web browser.

It is a record-keeping tool. It does not give legal or health and safety advice, and using it does not by itself make a business compliant with the law. Decisions about how you manage health and safety remain yours. The guides on our website are general information, not advice on your circumstances.

3. Who can use it

SafetyPro360 is for businesses and other organisations, not for consumers. The person who opens an account confirms that they have authority to do so for the business. You are responsible for everyone who uses your account, for keeping passwords secret, and for telling us promptly if you think someone has got into your account who should not have.

4. Free trial, plans and subscription

We offer a choice of plans. Every plan includes the same features. The plans differ only in the number of current staff, sites and logins they allow and the amount of document storage. The plans, their limits and their prices are set out on our pricing page.

A new account starts with a free trial that runs for 14 days from the day you open it and needs no payment details. During the trial everything is unlocked, at the size of our largest plan. To keep using the service after the trial you choose a plan and subscribe from the Billing page. You can only choose a plan that covers what is already in your account. Nothing you have added is deleted. If you do not subscribe, your account is paused when the trial ends and your records are kept.

The subscription price is the price shown on our pricing page for the plan you choose, on the day you subscribe. It is charged monthly in advance to your payment card through our payment provider, Stripe. We are not registered for VAT, so no VAT is added.

An account owner or admin can change plan at any time from the Billing page, as long as what is in the account fits the new plan. The change applies straight away, and Stripe adjusts your next payment for the part of the month that is left.

If a payment fails we will ask you to update your card. If it is not put right your account will be paused.

Accounts opened before 5 October 2026 stay free of charge on the allowance of our Standard plan. They may move to a paid plan at any time.

5. Changing the price

We may change the subscription price. If we do, we will tell you by email at least 30 days before the new price applies to you, and you can cancel before it does.

6. Cancelling

You can cancel your subscription at any time from the Billing page. There is no notice period. Your account stays open until the end of the month you have already paid for and is then paused. We do not give refunds for a part-used month, unless the law requires it or we have failed to provide the service.

A paused account cannot be used, but the records in it are kept so that you can come back. You can ask us at any time to delete your account and everything in it.

7. Your records

The records and documents you put into SafetyPro360 belong to you. We use them only to provide the service to you.

You are responsible for what you put in: that it is accurate, that you have the right to store it, and that you have told your staff what you record about them. You should keep your own copies of important documents. We take care of the service and its data, but we do not promise that records can never be lost, and SafetyPro360 should not be the only place a critical document exists.

8. Personal data

Our privacy notice explains how we handle personal data. In summary, for the information you record about your own staff and other people, you are the controller and we are your processor under UK data protection law. As your processor we will:

  • use that personal data only on your instructions, which means to provide the service and as you direct through the account;
  • keep it confidential and make sure our people who can see it are bound to do the same;
  • keep appropriate security measures in place;
  • use other processors (such as our hosting provider) only under contracts that protect the data, and remain responsible for them;
  • help you respond to requests from individuals and to meet your own security and breach obligations, so far as we reasonably can;
  • tell you without undue delay if we become aware of a personal data breach affecting your records;
  • delete your records when you ask us to or after your account is closed, apart from backup copies which are removed within 90 days; and
  • give you the information you reasonably need to check that we are doing these things.

9. Giving a consultant access

You can give an outside safety consultant access to parts of your account. If you do, the consultant acts for you, not for us. You decide what they can see and change, you can end their access at any time, and you are responsible for what they do in your account.

10. Ordering PPE

The PPE screen lets you send an order request to RAD-EQUIP LIMITED. An order request is not a contract. Any sale of goods is agreed with you separately, on the terms given to you at the time.

11. Acceptable use

You must not use SafetyPro360 to store anything unlawful, try to get into another customer's account, interfere with the service or its security, use automated means to copy it, or resell it without our written agreement. We may suspend an account that is doing any of these.

12. Availability and changes

We aim to keep SafetyPro360 available at all times, but we do not guarantee it. It may be unavailable for maintenance or for reasons outside our control. We improve the service continually and may add, change or remove features. We will not remove something you rely on without telling you first.

13. Our responsibility to you

We will provide the service with reasonable skill and care.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law.

Otherwise, we are not liable for loss of profit, loss of business, or indirect or consequential loss, and our total liability to you in any 12 month period is limited to the amount you paid us in that period or £100, whichever is more.

We are not responsible for decisions you make on the strength of records held in SafetyPro360, or for how you meet your health and safety duties.

14. Ending the agreement

You can end this agreement at any time by cancelling and asking us to delete your account. We can end it by giving you 30 days' notice by email, or immediately if you seriously break these terms. If we end it other than for your breach, we will refund any payment covering the time after it ends.

15. Changes to these terms

We may update these terms. If a change is significant we will tell you by email at least 30 days beforehand. The date at the top shows when they were last changed.

16. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction over any dispute.
